DIY Rental Agreement
1. The Space
Organizers and attendees have access to the event space and the restroom facilities. They are also allowed to use chairs, tables, and audio equipment, but must ensure that everything is returned to its original setup by the end of the rental period.
FriendsQuarters does not offer a Technical Director on-site. Please reach out to us before adjusting or relocating any equipment if you have any questions.
The flooring is fragile, so avoid dragging furniture or doing anything that might cause damage.
Do not use nails, screws, or any kind of permanent or semi-permanent fixtures on the floors, walls, ceilings, doors, window frames, or any part of FriendsQuarters. Only spike tape is allowed on the floors, and we recommend using Blu Tack or a similar non-damaging adhesive for wall decorations.
The lobby, restrooms, patio and kitchen are shared areas unless otherwise noted. Please be mindful of noise levels and considerate of neighbors when using these common spaces.
Members must leave and vacate the premises by the end of their allotted time. You will have 30 minutes to tidy up and reset the space before departure.
2. Entry Instructions
Details on how to access the venue will be shared once the rental agreement is finalized.
3. Insurance
It is the renter’s responsibility to secure liability insurance through a provider of their choice.
Recommended Providers: EventPolicy.ca, DUUO, Cooperators Insurance, East Village Insurance
Renters must obtain a minimum of $2 million in liability coverage per booking.
The policy above must list the following four entities as “additionally insured” on the policy:

If alcohol will be sold or served at your event, you are required to obtain the appropriate special event permit (SEP), utilize FQ bartenders, and purchase the necessary insurance.
Proof of liability insurance must be submitted via email or in person before the rental begins. Failure to provide proof may result in event cancellation.
Please bring hard copies of all insurance documentation and licenses when using the space.
3. Cleaning Expectations
FriendsQuarters provides an affordable venue for individuals and organizations dedicated to building accessible community spaces. To maintain affordability, we ask that all users assist in keeping the venue clean and functional.
As part of your rental agreement, please follow the cleaning checklist and ensure the space is left in the same or better condition than you found it. Those who do not follow the checklist may be prohibited from future rentals.
4. Cancellation
You may cancel your event up to 72 hours beforehand. If there is another space available you may rebook for that month only. You must contact us to cancel at members@friendsquarters.com. There are no refunds or rebookings for any cancellations made within the 72 hour period.
4. Membership
We highly encourage that all guests at your event must be members. If they are not part of the monthly membership program, they can donate a $5 day membership. In order to grow this community, your community can attend an event for free, but ask that that you do your part to help us grow and encouage either a daily or monthly sign up.
